What your accountant needs each quarter (and how not to forget)

Every three months, the same thing. Your accountant writes: "Can you send me the invoices for this quarter?" And the race against the clock begins.

The deadlines you can't miss

Modelo 303 (quarterly VAT return) is filed:

  • Q1 (January–March): by April 20
  • Q2 (April–June): by July 20
  • Q3 (July–September): by October 20
  • Q4 (October–December): by January 30

Your accountant needs your invoices at least a week before the deadline. If you send them on the 19th, there's no time to review.

What you need to send

For each deductible expense, your accountant needs:

  1. The image (photo or PDF)
  2. Document type: full invoice or simplified receipt
  3. Supplier details: name and NIF/CIF
  4. Your NIF as buyer (on full invoices)
  5. Date
  6. Taxable base and itemized VAT
  7. Total
  8. Category (fuel, supplies, software, etc.)

The ideal format

The worst thing you can do: send 47 loose photos via WhatsApp with no order.

The best: an Excel with one row per expense (date, supplier, NIF, base, VAT, total, category) and a ZIP with the images where each file corresponds to a row in the Excel.

Modelo 347: the threshold you shouldn't ignore
